The challenge
Orders pile up in a short lunch break, and the counter gets stuck taking orders and handling cash. Students waited a long time, and the cafeteria could not see demand ahead of the day.
Our scope
Design through implementation and operations. Student-facing pre-order, payment, and pickup screens, a kitchen queue for cafeteria staff, and an admin console for menus, sales, and inventory, built multi-tenant so several schools can share it.
Team & process
The founder led the design and liaison with the school and payment providers, and in-house engineers built the app including payment integration. The same team maintains it after launch.
Design decisions
- Pickup confirmation was moved to a button the student taps, removing counter-side matching. The order-complete screen and the student manual were updated together.
- When payment status lagged behind the admin console, the flow was reworked to update instantly from the payment provider’s webhook.
- Monthly settlement, deducting payment fees and generating transfer statements, was automated so running costs do not grow with usage.
Current involvement
Live at the first school. Additional payment methods and multi-school rollout are being phased in as operations mature.
